Access Control in Logistics and Modern Workplaces

1. Why are paper-based visitor management systems no longer state-of-the-art?
Our experience shows that visitor management can still be optimized in many companies. It is often done manually and on paper, which is rarely compliant with data protection regulations. Manual documentation in visitor books harbors security risks, as anyone who has access to these books can view all visitor data. In addition, archiving and searching for specific data is time-consuming and laborious. This is why we have developed the automated visitor management system proxSafe® obelixx.
2. How does automated visitor management work?
Visitor management varies from company to company. An automated system such as the proxSafe® obelixx offers both convenience and security for visitors and employees. It can be used as a fully autonomous self-service station where visitor arrival and departure times are automatically recorded. Visitor passes are issued and returned using RFID technology.
Visitors register independently at the terminal, identify themselves and receive a visitor badge. All visitor data is recorded in the management software Commander, allowing companies to keep track of all visitors in the building at all times. Multi-factor authentication can also be enabled, whereby an employee checks the visitor badges. If a visitor does not return their badge or does not leave the building in time, warning messages are issued.

3. What hardware and software is required?
Our system combines QR codes, emails, a smartphone app and RFID technology. Visitors can either be registered by the company in the management software “Commander Cockpit” or register independently via the terminal using a smartphone. After registering, they receive a QR code by email, which they hold up to the QR code reader at the station in the entrance area. The locker then opens and the visitor can remove their ID card, which is attached to a lanyard with an RFID transponder. To return the card, the visitor can show either the QR code or the RFID transponder. The system automatically registers the removal and return of the badges.
